⚙️ How to Email New Odoo Leads Automatically with Gmail #
Every app expects data in a specific format—whether it’s how dates are written, how names are separated, or how fields are labeled. You can use our in-house tool AI Wizard by Workload to clean up or adjust data between steps. If your trigger already sends clean data, you may not need formatting at all.
Step 1: Create a New Automation Workflow
In the Workload Dashboard, click Create Workflow.

Give your automation a title (ex: New Lead in Odoo to Gmail).

Step 2: Set Up a Trigger (Odoo ERP Self Hosted)
Click inside the Trigger box and choose app Odoo ERP Self Hosted.

Select the event New Lead/Opportunity, then choose Continue.

Click Sign in to connect your Odoo account if you haven’t done so already. For help, follow our step-by-step guide on how to connect Odoo to Workload. Once connected, click Continue.

Next, select your database from the dropdown menu, then Continue.

Click Test Trigger to pull in sample lead data.

Once you receive a successful response, click Continue.

Step 3: Add Step to Split Names (AI Wizard Tool)
Click the action step below the trigger and open the TOOLS menu. Then, choose AI Wizard by Workload (fka AI Formatter by Workload).

Choose Format Data as the event, then hit Continue.

In the Input Data field, select Partner ID from the trigger.

In your prompt, instruct it to pull out “number one” and return separate company name and contact name fields. Afterwards, click Continue.

Now use the Test Action button to confirm the names are split correctly.

Once you get a successful response, click Continue.

Step 4: Add Step to Email New Odoo Leads (Gmail) #
Click the + icon to add a step, then choose the Google Gmail app.

Select the event Send Email and then Continue.

Click Sign in to connect your Gmail account if you haven’t done so already. For help, follow our step-by-step guide on how to connect Gmail to Workload. Once connected, click Continue.

Create Your Welcome Email
To map the fields in your email, click the dropdown for each input and choose the matching data from your trigger or AI Wizard step. You can customize this to include only the details you want to send in your message. We used the following fields:
- To – Email (from trigger)
- From – Your Gmail address
- Reply-To – Your Gmail address
- From Name – Your name
- Subject – Welcome + Contact Name (from Steps 1 or 2)
- Body – Greeting with Contact Name + Company Name (from Step 2) and your welcome message
Once you have finished mapping your email details, click Continue.

Now hit Test action to send a test email

Once you get a successful response that the email has been sent, click Continue.

Step 5: Test and Activate the Automation
Open your Gmail Sent folder to confirm it sent successfully. If it looks good, return to the Workload editor, verify each step has a green light, and then switch the automation On.

You now have a production-ready automation to send immediate welcome emails to new leads!
