With Workload, you can sync Calendly Invitees to HubSpot Contacts automatically, so every new booking becomes a structured CRM record.

βοΈ How to Sync Calendly Invitees to HubSpot Contacts Automatically
Apps expect data in different formatsβlike dates, names, or labels. Workloadβs built-in AI Wizard lets you clean or adjust data between steps. If your trigger already sends clean data, you can skip formatting altogether.
Step 1: Create a new automation (Workload)
Open the Workload editor and click Create Workflow.
Give your automation a clear title, such as Calendly Invitee to HubSpot Contact.
Step 2: Add your trigger (Calendly)
Click inside the Trigger box and choose Calendly.
Select the event Invitee Created, then click Continue.
Click Sign in to connect your Calendly account if you havenβt done so already. For help, follow our step-by-step guide on how to connect Calendly to Workload. Once connected, click Continue.
Click Test Trigger to pull in sample invitee data.
Now, click Continue once the test succeeds.
Note: The trigger sends a full name and raw phone number. Weβll format those in later steps before creating the HubSpot contact.
Step 3: Split names into first and last (AI Wizard)
Click into the Action box and select AI Wizard by Workload.
Choose the event Format Data, then click Continue.
Set the input to the inviteeβs full name from the Calendly trigger.
In the prompt, enter: βSplit this into first name and last name”. Then click Continue.
Test the action to confirm the names are separated.
Once you have a successful test, click Continue.
Step 4: Format the phone number (AI Wizard)
Click the + icon and add a step. Then from the TOOLS menu choose AI Wizard by Workload.
For the action event, select Format Data, then Continue.
Set the input to the inviteeβs phone number from the Calendly trigger. In the prompt, enter: βFormat phone number into standard international format“. Then click Continue.
Test the action to confirm the phone number matches HubSpotβs expected format. Once you have a successful response, hit Continue.
Step 5: Create a contact (HubSpot)
Click the + icon and select HubSpot.
Choose the event Create Contact, then click Continue.
Click Sign in to connect your HubSpot account if you havenβt done so already. For help, follow our step-by-step guide on how to connect HubSpot to Workload. Once connected, click Continue.
Now, map your fields:
- First Name β from Step 3 β AI Wizard
- Last Name β from Step 3 β AI Wizard
- Phone Number β from Step 4 β AI Wizard
- Email Address β from Step 2 β Calendly
After you have mapped the fields you need, click Continue.
Test the action to send the data to HubSpot. Once you have a successful response, click Continue.
Step 6: Activate your automation (Workload)
Return to the Workload editor. Verify each step shows a green indicator. Click the switch at the top to turn your automation On.
* From now on, every new Calendly invitee will be formatted correctly and added to HubSpot as a contact.
